A virtual office gives your business a professional address, mail handling and access to meeting space, without leasing a full office. But not all providers offer the same quality. Below are the most common problems with poor providers, followed by practical checks you can do yourself before you sign.
Common problems with poor virtual office providers
- Hidden fees: Low headline prices, then extra charges for mail forwarding, scanning, registration use or set-up.
- Unreliable mail handling: Letters are delayed, lost or not notified, which can mean missing important notices from government agencies, banks or customers.
- Address problems: The address cannot be used for company registration, or does not meet the registered office requirements.
- Poor customer service: Slow replies, unhelpful staff or no clear way to raise issues.
- Unclear contracts: Automatic renewals, long notice periods or cancellation fees that are not explained upfront.
- Limited flexibility: Plans that cannot be upgraded, downgraded or changed as your business grows.
- Poor facilities: Meeting rooms or reception areas that are badly maintained or hard to book.
How to check a provider before you sign
Use these checks to compare providers. Ask the questions in writing so you have a record of the answers.
1. Can the address be used for ACRA registration?
If you plan to use the address as your company’s registered office, confirm this in writing. ACRA requires a registered office to be a Singapore address that is open and accessible to the public for at least three hours on each business day (see ACRA’s guide to registering a local company). Ask the provider:
- Is the address allowed for company registration, and is this included in my plan?
- Is the address staffed and open to the public during business hours?
- Will you sign any letter or consent needed for my registration?
2. Is the provider a real, live business?
Search the provider’s company name on ACRA’s Bizfile. The entity search shows a business’s live status and registered address, and whether it is a registered corporate service provider (see how to use Bizfile’s search functions). Check that the name on the contract matches the registered business.
3. How are you notified when mail arrives, and how fast?
Ask:
- How will I be told that mail has arrived (email, app, phone)?
- How soon after arrival will I be notified?
- How is official or registered mail handled, and who signs for it?
- How long will you hold mail before forwarding, returning or disposing of it?
4. Are mail forwarding and scanning extra costs?
Ask for a full price list, not just the monthly fee. Check:
- Is mail forwarding included, or charged per item or per month?
- Is scanning included? Is there a limit on the number of pages or letters?
- Are postage, set-up, deposit or admin fees charged separately?
- Are prices shown with or without GST?
5. What are the cancellation and renewal terms?
Read the terms and conditions before paying. Look for:
- Minimum contract period
- Whether the plan renews automatically, and at what price
- How much notice you must give to cancel
- Any early termination fee or non-refundable deposit
- What happens to your mail, and your registered address, after you cancel
If you cancel, remember that you will need to update your company’s registered address with ACRA.
6. Can you visit the premises?
Ask to visit before you sign. Check that the building and unit exist, that there is a staffed reception, and that the meeting rooms match the photos. A provider that will not let you visit is a warning sign.
7. What do recent customers say?
Read recent Google reviews and look for repeated complaints about the same issues, such as lost mail, billing or slow replies. One bad review is normal; the same problem mentioned many times is a pattern.
Red flags to watch for
- Prices that are far below other providers, with no clear list of what is included
- No written terms, or terms that are only shared after payment
- No physical reception, or no option to visit
- Vague answers about whether the address can be used for registration
- Many recent reviews about lost mail or billing problems
Checking StraitsVO
We encourage you to run these same checks on us. Our address is at Suntec Tower One, 7 Temasek Boulevard, and you are welcome to visit us before signing up. Conclusion
A cheap virtual office can become expensive if mail is missed or the address causes problems with your registration. Taking a few minutes to check the address, the fees, the contract terms and the premises can save you trouble later. For a step-by-step checklist, read our tips on choosing a virtual office provider.
